Role of the CKUA Local Chapter
- To support and promote CKUA in
their respective communities and to act as ambassadors for CKUA at local cultural,
arts and musical events in their community.
- Chapter executives may or may not organize events that generate funds for CKUA. If a chapter decides that they want to organize an event, the online event proposal form
must be completed.
- To adhere to the policy and procedures
of CKUA Radio Foundation.
- Local presidents or their designate will communicate regularly with the Volunteer Co-ordinator at CKUA.
How to Form a Local
CKUA Chapter
- Form a Board of Directors. The Board of Directors must contain the following officers: President, Secretary, Treasurer and a minimum of three directors/members at large
in order to maintain Chapter status. It is recommended that the Board also recruit volunteers for the following positions: Special Events Coordinator, and a Fundraising Coordinator.
- The Board of Directors shall meet at least 3 times in a calendar year.
- A quorum of the Board shall be at least 5 Members.
- In the event of a vacancy occurring in any of the table officers the Executive Committee shall appoint a person to hold office until the next Annual General Meeting.
- To carry out meetings democratically and to provide accurate minutes of proceedings.
- The Local Chapter Executive can appoint committees.
Role of the President
- To preside over all the meetings
of the Board of Directors. However, in the absence of the President the Vice
President shall preside.
- To Provide a notice of the place,
time, and date of each meeting and mail or phone the Board of Directors not
less than 7 days prior to the date of the meeting.
Role of the Vice President
- The Vice President will assist
the President and assume the duties of the President in his or her absence.
Role of the Secretary
- The Secretary is responsible for
the minutes of the meetings and for the minutes of the Annual General Meeting.
- In the absence of the Secretary
his or her duties will be appointed to one of the Board Members.
- The Secretary shall also keep
the names and phone numbers of the entire Executive and forward a copy of
the Executive to the Volunteer Department, CKUA.
Role of the Treasurer
- The Treasurer shall receive and
account for all monies belonging to the Chapter. This money must be remitted
to CKUA Radio within one week.
- The Treasurer must maintain proper
bookkeeping records for that Chapter including invoices and receipts.
- The Treasurer must make financial
records available to the Foundation upon request by the General Manager.
- The Treasurer shall be responsible
for submitting a financial report at each Annual General meeting and when
called upon by the Executive of the Chapter, or the Foundation.
- The Chapter is responsible for
paying all debts incurred by the Chapter or its officers.
- The Treasurer will ensure that
monies raised from CKUA activities are forwarded to CKUA within one week of
the event taking place.
Other Responsibilities of a Local
Chapter:
- Officers and members must not
be paid wages, salaries, or fees except for expenses incurred in carrying
out duties of the Chapter.
- Local Chapters must remit all
monies in Local Chapter Accounts in excess of $200.00 to CKUA.
- In the event that a Local Chapter
dissolves or becomes dormant all monies contained in the Local Chapter Account
will be reverted to CKUA.
CKUA's Responsibility to You:
1. To supply Local Chapters
with the resources required for managing and administrating a Chapter.
2. We will ensure that the Chapter has such things as promotional displays,
banners, posters, merchandise, accounting and administrative forms.
3. The Volunteer Department will act as a resource/sounding board for the Local
Chapter. Local Chapters are accountable to the Volunteer Manager at CKUA.
